Build a Custom Template

Recreate the note format your clinic already uses, or design a new one for rechecks, dental cases or lameness exams. Every template you build works for every note you record.

Step 1: Open Templates and start a new template

  • 1Sign in to PawfectNotes and open Templates (the clipboard icon in the app’s navigation).
  • 2Under Your templates, choose + New template.
  • 3Prefer to start from a copy? Choose Duplicate on any template. On the built-in SOAP Note, Duplicate to Edit copies your specialty’s physical exam and your normal findings too.

Step 2: Name it and choose who can use it

  • 1Type a name at the top of the editor (up to 100 characters).
  • 2Choose Only me to keep it to yourself, or Practice to share it with everyone in your practice. You can change this later.

Step 3: Add sections and fields

  • 1Choose + Section to add a section, for example Subjective, Objective or Plan.
  • 2Inside a section, add what it should contain: a Text field (such as Chief Complaint or History), Vitals or a Physical exam.
  • 3Reorder with ↑ ↓ and remove with ✕.

Step 4: Pick how each field is written

  • 1For each text field, choose a format: Bullet points, Paragraph or One sentence.
  • 2A template can hold up to 150 headers and items; the editor shows how many you have used.

Step 5: Save and record

  • 1The editor shows ✓ Ready when the template can be saved, and Not saved yet until you save a new one.
  • 2Choose Save. Your template is ready for your next note.
  • 3To use it for every note, choose ☆ Set as Default. Otherwise pick it when you confirm a recording: the template list shows your default first, then your most used templates from the last 30 days, and you can search for any other.

Tip: Deleting a template never touches your notes: notes already written with it are kept.

Share with your practice

  • Only me: only you can use it. Good for your own shorthand, rechecks and go-to formats.
  • Practice: everyone in your practice can use it, so the whole team writes notes in the same format.
  • Only the person who created a template, or a practice manager, can change it. Teammates can open it and choose Duplicate to make their own version.
  • When a teammate records for another veterinarian, the note starts from that vet’s default template, specialty and language.
