Phone calls to clients

Call your client.
The call writes its own note.

Call a client from the PawfectNotes web app or from your own cell. When you hang up, the note is already being written. No typing after callbacks.

Included in UnlimitedNotes · US & Canadian numbers · No per-minute charges

The Phone Call tab in the PawfectNotes web app: the steps We ring you, Press 1, Talk, Note, fields for the patient name and the client's number, the vet's own number to ring, the Call Summary note type and a Call Client button.

The problem

Callbacks all day. Notes from memory at the end of it.

Lab results, post-op check-ins, medication questions, follow-ups: vets make callbacks all day, and every one needs a note in the record afterwards. Usually it gets typed at the end of the day, from memory.

  • 🧪 Lab results
  • 🩹 Post-op check-ins
  • 💊 Medication questions
  • 📅 Follow-ups

How it works

Four steps. You just answer and talk.

  1. Step 1

    We ring you

PawfectNotes calls your own phone first.

  2. Step 2

    Press 1

Answer and press 1. Then we call your client.

  3. Step 3

    Talk

Your client hears a short recording notice, then you talk as normal.

  4. Step 4

    Note

Hang up. The note is written automatically.

Two ways to call

From the web app

📞 Call Client

  1. On a new note, open the 📞 Phone Call tab, enter your client’s number and select Call Client.
  2. PawfectNotes rings your own phone first. Answer and press 1.
  3. PawfectNotes calls your client, who hears a short notice that the call is recorded.
  4. Talk as normal. When you hang up, the note is written automatically.
No app needed

📱 Call in from your cell

  1. Save the PawfectNotes calling number in your contacts.
  2. Call it from your own phone, key in your client’s number and press #.
  3. Your client is connected, the call is recorded, and a new note appears in PawfectNotes.

From hang-up to note

Watch the call. Read the note.

The web app shows where the call is while it happens:

  1. Calling your phone (…4821). Answer and press 1 to call your client.
  2. On the call. It's being recorded; hang up when you're done.
  3. Call recorded. The note is being written.
If a call doesn’t connect
  • You didn’t answer or didn’t press 1: your client isn’t called.
  • Your client didn’t answer: nothing is recorded.
Example: a callback about a dog’s bloodwork.
Buddy📞 Phone call · Call Summary
Results

Bloodwork from Tuesday: kidney values mildly elevated (creatinine 2.1, BUN 38).

Assessment

Likely early kidney disease, managed with diet.

Plan

Prescription renal diet, more water.

Warning signs

Call if vomiting or not eating.

Follow-up

Recheck bloodwork in 4 weeks; front desk to schedule.

What you get

  • A Call Summary, or any template

By default you get a Call Summary: what was discussed, results, instructions given and the follow-up plan. Or pick any template you use, from SOAP to your own custom templates.

  • Both sides, wherever you are

Both sides of the conversation are captured from your own phone, at the clinic, at home or in the car.

  • Your number stays private

Clients see the PawfectNotes calling number, never your personal cell.

  • Live status in the app

Follow the call as it happens: calling you, on the call, writing the note.

  • Nothing to do after hang-up

No upload, no button. When the call ends, the note is written automatically.

  • In your language

Call notes follow your language settings, like every PawfectNotes note, in any of the 41 languages PawfectNotes supports.
